Tasks and Duties:
1- Supervising the work performance of the division members, following up on their activities, and distributing tasks according to units in a way that helps develop and improve work performance.
2- Formulating plans and programs for the division’s work and following up on their implementation.
3- Reviewing the division’s incoming mail and referring it to the relevant unit.
4- Answering the institute’s inquiries regarding the implementation of administrative regulations and instructions.
5- Identifying the shortcomings in the institute’s administrative performance and determining the size of the performance gap.
6- Addressing the university and determining the required frameworks to complete administrative transactions.
7- Evaluating the performance of the division’s employees and submitting it to the relevant authorities after discussing the members’ performance.
8- Preparing the necessary studies to provide information to the Middle Technical University in various fields.
9- Follow up on the completion of an updated database for the institute’s teachers, technicians, administrators, and infrastructure.
10- Membership of relevant committees within the institute.
11- Holding training and development courses for employees in the administrative division.
12- Representing the division in scientific, administrative and technical conferences and seminars within the division’s scope of jurisdiction.
13- Recommendation to hold the necessary training courses for the members of the division.
The division consists of the following units:-
First:- Human Resources Unit:
Tasks and duties
1- Issuing administrative orders for affiliates of teaching, technical and administrative staff (transfer / assignment / allowances / vacations / sick and regular leaves / change of addresses / and issuing official letters.
2- Preparing and updating service records
3- Preparing information related to housing in coordination with the university.
4- Responding to letters received from the university and other departments
5- Following up on academic documents and the validity of their issuance
6- Completing transactions related to appointment and preparing service books.
7- Entering an integrated program for technicians that includes the necessary information to complete the technicians’ work correctly in the computer (identification data)
8- Preparing annual allowance forms and fixing the required information on them and sending them to the scientific departments for evaluation purposes and then sending them to the Dean and then issuing the administrative order to grant Bonus
9- Issuing orders for absence from official work (absence without pay) and following up on the directness after the absence
10- Issuing orders for resignation from the job based on “the request of the affiliate or considering him resigned” from the job if he is absent from official work for ten consecutive days
11- Issuing orders for regular and sick leave and the validity of the issuance of medical reports
12- Preparing organized records of long leaves and affiliates to and from our institute and study leaves and all variables
13- Attending the housing committee meetings at the Middle Technical University and completing the housing for technicians for each year and sometimes attendance is monthly
14- Preparing and matching variables for each technician and sending copies of them to the housing committee at the university.
15- Issuing orders of thanks, appreciation and financial rewards recommended by the Dean
Second: – Staff and Retirement Unit
Tasks and duties
1- Conducting statistics for all institute members monthly.
2- Conducting statistics on variables every three months
3- Recording information in the plan register for all institutes
4- Answering letters received from the university
5- Following up on affiliates assigned inside and outside the institute
6- Following up on the dropout record
7- Following up on integrity forms and information bank forms annually
8- Following up on issuing IDs to affiliates in coordination with the university
9- Issuing university orders for referral to retirement based on the request of an employee who has not reached the legal age or for health reasons.
10- Extending the service of employees other than teachers after obtaining the necessary approvals for that.
11- Auditing requests to add services and presenting them to the committee formed for this purpose and obtaining official approval for its minutes and then issuing the necessary administrative order for that and sending it to the university
12- Sending the retirement transaction of institute affiliates to the National Retirement Authority through an authorized person for the purpose of granting him retirement rights.
13- Checking the entitlement of the employee referred to retirement to accumulated leave salaries, retirement bonus, end-of-service bonus, etc., in accordance with the Unified Retirement Law and the relevant articles of the University Service Law.
14- Follow up on the payment of retirement deductions from the Institute’s members to the National Retirement Authority, in coordination with the Institute’s Financial Affairs Department.
15- Referring requests from members to the Middle Technical University Authority for all orders (request for regular leave with or without pay/transfer/referral to retirement/resignation, etc.
Third:- Documentation Unit
Tasks and duties
1- Keeping administrative orders issued by the faculty, technicians and administrators
2- Organizing files for faculty, technicians and administrators
3- Providing the technicians with information about members
4- Keeping mail for members on a daily basis
5- Organizing and indexing identification records in files
6- Indexing files for institute members
7- Providing the staff and retirement unit with information about faculty, technicians and administrators
8- Organizing outgoing records
9- Organizing incoming records
10- Distributing mail to all departments, units and branches in the institute
11- Distributing mail outside the institute
12- Distributing incoming mail from the Middle Technical University and other departments
13- Organizing mail distribution records
14- Keeping Official administrative orders
15- Preserving issued books and rotating files
16- Making a synchronization for direct, resignation and return books and establishing the age, last salary and unpaid leaves for all members of the institute and storing them in the computer
17- Responsibility for the electronic fingerprint device and preparing its required reports.
Fourth: – Services and Maintenance Unit

1- Managing the work of drivers of private vehicles at the institute and providing gasoline and oils for all cars received by drivers of cars
