Administrative Division

The Administrative Division is the backbone of institutional management. It oversees staff affairs, documentation, retirement, services and maintenance, and works on developing administrative performance according to a modern vision.

General Duties and Responsibilities of the Division

  • Supervising the work performance of division members, monitoring their activities, and distributing tasks according to units.
  • Formulating work plans and programs for the division and following up on their implementation.
  • Reviewing incoming correspondence to the division and referring it to the appropriate unit.
  • Responding to institute inquiries regarding the application of administrative regulations and instructions.
  • Identifying administrative performance gaps and determining the scope of the deficiency.
  • Corresponding with the university and determining the required frameworks for completing administrative transactions.
  • Evaluating the performance of division employees and submitting it to relevant authorities.
  • Preparing necessary reports to provide information to Al-Furat Al-Awsat Technical University.
  • Following up on the completion of an updated database for teaching staff, technicians, administrators, and infrastructure.
  • Holding membership in relevant committees within the institute.
  • Organizing training and development courses for employees of the administrative division.
  • Representing the division in scientific, administrative, and technical conferences and seminars.
  • Recommending the organization of necessary training courses for division members.

Units Under the Administrative Division

First: Human Resources Unit
  • Issuing administrative orders related to employees (transfers, secondments, bonuses, leaves, address changes).
  • Preparing and updating service records and placement information in coordination with the university.
  • Following up on academic documents and their authenticity, completing appointment transactions, and preparing service books.
  • Preparing annual bonus forms, evaluating them, and issuing orders granting the bonus.
  • Issuing orders for leave of absence, resignation, sick and annual leave, and following up on medical reports.
  • Attending Placement Committee meetings at Al-Furat Al-Awsat Technical University and completing technician placements.
  • Issuing letters of appreciation, recognition, and financial rewards.
Second: Staff and Retirement Unit
  • Monthly statistics of institute employees, and quarterly statistics of changes.
  • Following up on integrity forms and the information bank annually, and issuing IDs in coordination with the university.
  • Issuing university orders for retirement or extension of job service.
  • Auditing service addition requests, sending retirement transactions to the National Retirement Authority.
  • Auditing the entitlements of employees referred to retirement (accumulated leave, retirement bonus) according to the Unified Retirement Law.
  • Following up on the payment of retirement deduction amounts in coordination with financial affairs.
Third: Documentation Unit
  • Preserving issued administrative orders and organizing employee files.
  • Organizing outgoing and incoming registers and distributing mail to departments and units.
  • Indexing files and identification records, and providing required information to the Staff Unit.
  • Responsibility for the electronic fingerprint device and preparing its reports.
  • Creating backups of reporting letters, resignations, reinstatements, age verification, and final salary records.
Fourth: Services and Maintenance Unit
  • Managing drivers’ work, providing petrol and oils for vehicles, and following up on their repair.
  • Supervising building cleanliness through temporary workers, allocating funds, and cleaning facilities.
  • Maintaining the institute building, cooling devices, furniture, electricity, and gardens.
  • Maintaining institute generators and providing kerosene, forming internal and external committees for inspections and purchases.
  • Sanitary works and plumbing for all facilities (treating leaks and broken pipes).

Continuous Development and Training

The division organizes specialized training courses for its members in the fields of electronic archiving, fingerprint systems, administrative skills development, and university service law.

Commitment to transparency standards and updating an integrated database covering all institute employees (teaching staff, technicians, administrators) to support institutional decision-making.
