About the Student Affairs Division

The Student Affairs Division is one of the most vital divisions at the institute, handling all student-related matters from admission until graduation. It reports directly to the Dean’s Assistant for Student Affairs, responds to all official correspondence, and issues orders regarding transfers, admission amendments, failures, deferrals, deregistration, and more. The division also verifies new students’ documents and has its own printing and correspondence unit to streamline procedures.

Duties & Responsibilities

Detailed Tasks of the Student Affairs Division

  • Organize student files and maintain academic/administrative data from admission to graduation.
  • Follow up centralized admission procedures, accept new students, and verify official documents.
  • Issue university IDs and official letters for students.
  • Process transfer and hosting requests between institutes and colleges per approved controls.
  • Implement deferral, re-enrollment, and deregistration procedures according to ministry instructions.
  • Audit exam results and follow up on failure and progression to next stage.
  • Issue graduation certificates and various supporting documents for students and graduates.
  • Organize student lists and continuously update their databases.
  • Monitor student compliance with university regulations inside the institute.
  • Receive student requests and complaints, work to resolve them in coordination with relevant bodies.
  • Prepare periodic statistics and reports on student numbers, admission, and graduation.
  • Coordinate with academic departments regarding student distribution and class schedules.
  • Follow up on outstanding and talented students, encouraging continued excellence.
  • Provide administrative facilities and services that support students’ educational journey.
